Thesis submission (GSO.3)

Appointment of Examiners

FULL-TIME​ (before the end of your twelth term)        PART-TIME (before the end of your eighteenth term)

It is likely that you will submit your thesis in your fourth year.

Six weeks before the planned submission of your thesis

You will need to complete the Appointment of Examiners (GSO.3) form. It will require your signature, that of your supervisor, your college and then submitted to the Academic Administration Team (AAT) via email at graduate@ndcn.ox.ac.uk or handed in to the AAT office, Room 67-11, (opposite Room D), Level 6, West Wing. The team will then arrange for the Director of Graduate Studies (DGS) to add the final signature.

You are advised to meet with your supervisor to discuss suitable examiners, normally one internal and one external, neither of whom should be your supervisor. Guidelines on the submission and exam process, as well as preparation of the thesis and abstracts are all contained in the GSO.20a document.   

The examiners have to be approved by the Board and the examiners' formal acceptance received, before a thesis can be sent out.

In accepting an invitation to examine, examiners are deemed to have accepted the University's procedures and conditions regarding the examination, in particular those relating to copyright and confidentiality. These clauses, among other things, protect you and your work. A thesis will not be sent out until the University has a written acceptance to examine. This process of Board approval and letter writing usually takes 4 to 6 weeks.

Please note the following:

The GSO.3 form does not need to be submitted to the Examination School with your thesis – the form should be submitted at least 6 weeks before your thesis to the Academic Administration team.

If your thesis title has changed since transfer of status, you will need to apply for the new title to be recorded in Section 1 of the GSO.3 form.

If there is a compelling reason to do so, you may apply to have your viva examination no later than a certain date. You can apply for this in Section 8a on the GSO.3 form
